Welcome to the DMU Email Policy
This policy describes how DMU manages email communications sent from and received at our @dmu.gr domain, and the responsibilities of everyone we correspond with.
It complements our Privacy Policy and the master Terms of Service. The sections below cover confidentiality, data protection under GDPR, security limits, the authority of the messages we send, and how this policy is maintained over time.
Purpose
This Email Policy explains how DMU ("we", "us") handles email communications sent from and received at our domain (@dmu.gr), including confidentiality, data protection, security, and the responsibilities of senders and recipients.
Confidentiality
Emails sent from DMU and any attachments may contain confidential and/or privileged information intended solely for the addressed recipient(s).
If you receive an email from us in error:
- Do not read, copy, forward, disclose, or act upon its contents.
- Notify the sender immediately by reply email.
- Permanently delete the message and any attachments from your systems.
Unauthorised use, disclosure, copying, or distribution of any DMU communication is strictly prohibited and may be unlawful.
Data Protection (GDPR)
DMU is established in Greece and processes personal data in accordance with Regulation (EU) 2016/679 (the General Data Protection Regulation, "GDPR") and applicable Greek national legislation.
Personal data contained in our email communications is processed:
- Only for the purpose for which it was transmitted;
- On the lawful bases set out in Article 6 GDPR (typically performance of a contract, legitimate interest, legal obligation, or consent);
- In accordance with our Privacy Policy.
You may exercise your rights under GDPR (access, rectification, erasure, restriction, portability, and objection) by contacting us at [email protected].
Retention of Email Communications
Email correspondence is retained for as long as necessary to fulfil the purpose of the communication and to comply with our legal, accounting, and contractual obligations. Detailed retention periods are described in our Privacy Policy.
Security and Transmission Risks
DMU takes reasonable technical and organisational measures to secure its email systems. However:
- Email is not a fully secure medium. We cannot guarantee that messages are virus-free, unaltered in transit, or delivered on time.
- Recipients are responsible for scanning attachments before opening them.
- To the extent permitted by law, DMU accepts no liability for any loss or damage arising from the receipt or use of an email or attachment.
Monitoring
DMU may monitor, record, and archive email traffic on its systems for security, compliance, quality-assurance, and operational purposes, in line with applicable law and our internal policies.
